Oral Presentation Guidelines

To ensure a smooth and professional presentation experience, please adhere to the following guidelines:

  1. Presentation Duration:
  • 8 minutes for presentation
  • 2 minutes for Q&A
  1. Language:

All presentations must be delivered in English.

  1. Format:

Use PowerPoint (.ppt/.pptx) with a recommended slide size of 16:9 ratio (widescreen).

  1. Design Tips:

Use a clear font (e.g., Arial, Calibri) and avoid overcrowding your slides with text.

  1. File Name Format:

AbstractID_LastName.pptx (e.g., 45_Rahim.pptx or M10_Rahim.pptx).

 

  1. Submission Deadline:

Submit your final presentation slides by 31 August 2025.

 

  1. Submission Method:

Please submit your file via one of the following methods:

    Please also bring a backup copy on a USB drive on the day of your presentation.
  1. Equipment Policy:

Personal laptops are not permitted during the session to prevent delays. Presentations will be run from the official conference equipment.

  1. On-site Check-in:

Please check in with the session coordinator and ensure you are in the correct room at least 15 minutes before your scheduled session.

PowerPoint Format for Vertical Monitors

1. Slide Size (Portrait Orientation):

  • The first step is to change the slide orientation from the default landscape to portrait. Go to the “Design” tab, then “Slide Size,” and choose “Custom Slide Size.”
  1. Common Dimensions: A standard full HD vertical monitor has a resolution of 1080 pixels (width) by 1920 pixels (height). You should set your PowerPoint dimensions to reflect this aspect ratio. A common approach is to use a width of 10 inches and a height of 19 inches.
  2. Proportional Scaling: Always ensure the height is greater than the width to maintain the portrait orientation. If the conference provides specific dimensions (e.g., 27″ x 48″), use those dimensions directly in the PowerPoint settings.

2. Font Size and Readability:

  • Since the poster will be viewed from a distance, font legibility is crucial.
  1. Headings: Use a large, clear font size, such as 72-100 pointsfor the title.
  2. Headings: Use 48 points.
  3. Body Text: Use a minimum font size of 30-40 pointsto ensure the text is easily readable from 3 to 6 feet away.
  4. Sans-serif Fonts: Fonts like Arial, Helvetica, and Calibri are generally more readable on screens.

3. Export Format:

  • Save and send the file as a .pptx. However, to prevent formatting issues and ensure compatibility with the display software, you can send it in alternative formats:
  1. PDF: Exporting as a PDF is a reliable option as it preserves fonts, images, and layout.
  2. High-Resolution Image (JPEG or PNG): Exporting the slide as a high-resolution image file is the most common and safest option.
    1. Recommended Resolution: Save the file with a resolution of at least 150-300 DPI (dots per inch)to ensure the image is sharp and clear on the digital screen. The final image dimensions should be 1080 x 1920 pixels or a proportional equivalent.

4. File Name Format:

  • pptx (e.g., 45_Rahim.pptx or M10_Rahim.pptx).

5. Submission Deadline:
